SMS Appointment Reminder Templates and Examples

Business messaging guide

A useful appointment text says who it’s from, when the appointment is and how to make a change. Use the four examples below as a starting point and replace the bracketed details before sending.

Four appointment texts you can copy

Example SMS wording for appointments
When to sendTemplate
After booking[Business]: Your appointment is confirmed for [date] at [time]. To make a change, call [number].
Before the appointment[Business]: A reminder that your appointment is on [date] at [time]. Need to reschedule? Call [number].
When the time changes[Business]: Your appointment has moved to [date] at [time]. If that time does not work, call [number].
When you cancel[Business]: Your appointment on [date] at [time] has been cancelled. To rebook, call [number].

Use a number your team answers. If you want customers to reply by SMS, check that your sending setup accepts replies and assign someone to monitor them. Keep details brief so the message makes sense even if it appears on a lock screen.

When should I send a reminder?

Send the confirmation when the booking is made. A reminder the day before is a useful starting point if that gives customers time to reschedule. When a booking changes or is cancelled, check for any reminders still queued for the old appointment.

What do appointment reminders cost?

For 600 appointments with two one-part messages each, you’ll send 1,200 parts. At the standard SMSFlow rate, that costs R192 excluding VAT or R220.80 including VAT. Preview your actual wording with realistic names and dates before sending. Longer messages can cost more.

Send from the portal or connect your booking system

If your team works from a prepared list, use the web portal to send or schedule the messages. If your booking system should trigger a reminder automatically, use the SMS API. Your application decides when to send and what to do when a booking changes.
